Key Account Information:
1. Most frequent type(s) of requests this customer has?
CWS- only calls to ask about clients that come in or add EtG as a panel.
Tulare Drug Court- calls a lot about confirmation test that come back Positive and seeing if medication is the cause.
Tulare County Customers really don't call much unless they have major changes that they want us to be aware of. If they reach out to me (Jessica Montalvo) I always loop in the area manager.
2. Are any programs integrated with a Case Management System? (Y/N).
No
3. What are some examples of “Today” requests a customer might ask? -If a client test result is showing up in the system.
-Walking them through Aversys because of major changes throughout their company and new employees.
-Asking about merging accounts to be able to see test results. Example When we close a client in Drug Court and put them on Tulare Invoice. Probation sometimes can’t see the clients’ Drug Court Results because they got closed out so to see those, we must merge the two accounts together.
4. Do customers issue any vouchers? (Y/N) Would this be a “Today” request?
Yes & Yes– Tulare Drug Court sends their clients into our office with a blue slip to place them on Tulare County Invoice and that slip has a date for how long it is good for.
5. Does this customer submit manual referrals? Do these samples come in via email ahead of time at time of collection, or does the client walk in with the form. If so, please upload example into your respective state folder Region 1- CS Centralization.
Tulare CWS – Sets everything up in the system we don't do anything put check and see if they scheduled them in at the time of the client's arrival, if they want to send them to sign up for randoms they usually send them in with a paper stating that they want them to sign up for Randoms or they send a text to the client to show to us that they need to sign up.
Tulare Drug Court- They usually release clients out of jail with a red paper that has multiple task they must complete at the time of release and one of those tasks is to come into our office to sign up for RDT with Averhealth and they must test at the time of sign up. We set them up in the system first and then after probation takes over the client's file and progress in averhealth.
Tulare Family Court- They come in with a court order, and we set them up in the system and put them under manual. We are to make a copy of the court order every time they test to keep record.
Tulare County Probation Office – They drop samples with 2plys filled out to the Visalia office and Porterville office. We create patient accounts with those 2plys and wait to do confirmation if the paperwork request confirmation test.
. 6. What methods of payment are accepted if a client has a co-pay?
-We accept Cash & Cards as a method of payment.
7. Do you accept Private Pay clients? (Y/N) If so who is eligible?
-Yes, only way we except Private Pay if that client has never tested under any of our programs like CWS, Probation or Family Court.
8. Can we add new users to Aversys for all accounts?
- Yes, but it must be requested by the main person in charge of the account or their supervisors via email. So, we have a record of those requests just in case.
9. Do we refund for negative confirmations or any testing outcomes?
-Yes, but only for Tulare Drug Court and we only refund to their account as prepay when a client is getting a confirmation on a test that came back negative.
Other Information that may be Helpful:
Tulare Probation has just added a new account that is called Prop 36. This account is still new to us and we are still in the process of understanding it and are working with probation on this.
