2. Are any programs integrated with a Case Management System? (Y/N). Yes, Maricopa County uses APETS and Maricopa County Juvenile Probation uses iCIS
3. What are some examples of “Today” requests a customer might ask? Lab questions (med review, thc eval, etc.), adding testing panels, how to add a patient, deactivating user and patient accounts.
4. Do customers issue any vouchers? (Y/N) Would this be a “Today” request? Yes
5. Does this customer submit manual referrals? Do these samples come in via email ahead of time at time of collection, or does the client walk in with the form. If so, please upload example into your respective state folder Region 1- CS Centralization. Yes, Family Court sends in Court Orders, Federal Probation/Pretrial sends in 45’s
6. What methods of payment are accepted if a client has a co-pay? Cash/Card
7. Do you accept Private Pay clients? (Y/N) If so who is eligible? Yes – Anyone who does not already have an active Aversys account with a program (even if there is a court order)
8. Can we add new users to Aversys for all accounts? There has to be approval from specific stakeholders with the exception of Arizona - Department of Child Safety
9. Do we refund for negative confirmations or any testing outcomes? Not a cash refund, but if a hair test comes back as rejected due to QNS, we will credit their account because this was the fault of the collection site.
Other Information that may be Helpful:
In the event that we do not have someone of the same sex to perform the collection, we are to move to monitored collection and make sure to mark the test as Unobserved (bottom right corner at check in). This goes for everyone in Maricopa County.

When there is not enough hair on a patient: |
1. Process and change the panel on the check in screen to Hair - Unable to Provide. |
2. Add in the collection notes on the check in page "Patient did not have head hair or facial hair, and (s)he stated he did not have any body hair. and then process the order. Make sure to ask about the body hair before adding the additional note in. |
3. Then call Daniel and let him know so he can email Family Court about what to do. |
4. Let the patient know that because we cannot test them, they need to contact the courts at fcaverhealth@jbazmc.maricopa.gov |
Any new order received creates a blank slate for the future. We should be removing anything (panel makeup, manual orders, etc.) that are no longer included and add in/amend anything new/altered that has been included (panel makeup, testing frequency, manual orders, etc.). |
If the patient does not go in for testing, do not reschedule. They are responsible for going in and are fully aware of the deadline given by the Judge. |
