Y -I think Pima County 

3What are some examples of “Today” requests a customer might ask?  

Excuse test for today or add manual order for today, Federal Probation/PreTrial add patient today and provide their PIN# 

4. Do customers issue any vouchers(Y/N) Would this be a “Today” request? 

Y- Yes it can be a today request if requested by the officer/case manager 

5. Does this customer submit manual referrals? Do these samples come in via email ahead of time at time of collection, or does the client walk in with the form.  If so, please upload example into your respective state folder Region 1- CS Centralization. 

Yes, they send emails ahead of the time/at the time of collection if they forget to add them. But patients sometimes go straight after court and enter the center with a court order in email/paper form.  

6. What methods of payment are accepted if a client has a co-pay? 

Cash, card, google/apple pay, payment over phone for out of state testing kits/Telecollection kits 

7. Do you accept Private Pay clients? (Y/N) Iso who is eligible? 

Y – any patient that does not have an active judicial profile. 

8. Can we add new users to Aversys for all accounts? 

Only if a current judicial contact requests that we give the new user judicial contact access to that specific program. All accounts have separate programs, so make sure you only give access to what the active contact tells you. For example, Pima County Family Law is only Family Law.  Same with the rest of the programs. Sometimes officers will tell you to give them the same access they have to the new contact.  

9. Do we refund for negative confirmations or any testing outcomes? 

No we do not refund. Unless the patient finishes the program/profile is archived, we can give profile credit back to the patient but location must be alerted so we know to do that and leave a note on the profile/accounting spreadsheet.  

 

Other Information that may be Helpful 

  • Oral Fluid Swabs - Pima County Adult Probation – All patients are fully responsible for payment if they are allowed to do an Oral Fluid Swab test. The program has asked we change the copay so the patient is responsible for the cost, since they will not pay for that cost.  

  • We can only test patients if they are scheduled (have a green clock), unless the profile has a note left by the case manager or a program note was added by the AM/RM.  

  • Family Law/Court - We cannot add attorney/patient emails to receive results unless we get permission from the Judges assistants/court.  

  • Payment – All patients must pay at the time of their tests. 

  • This is the busy location, so I always push patients to travel to the South location for less of a wait time or for tests that take longer like Hair/DNA testing.  

  • Police/Law Enforcement – Department of Child Safety Hair tests – Only a DCS Program Manager or Head of DCS can approve this type of collection. A note must be left on the profile stating Law Enforcement will record and take part of the hair sample.  

  • Do not change anything to account/programs. Just forward to AM so they can handle it
